Once you decide on a particular house exchange, you will need to start looking into the specific details. When doing this, consider the following:
- Do not book any travel until you have confirmed dates with the other party.
- Confirm you have the dates of arrival and departure at your exchange accommodation written down on an e-mail, fax or letter, in case of dispute. If possible, get this signed by yourself and the other party.
- Arrange how you will get the keys for the property. You may leave them with a neighbour. Also confirm where your and their house keys will be returned on leaving.
- Make sure you tell the person you are exchange with about any special features, e.g. timers, a security system/alarm. Show your neighbour how to operate the device so they can demonstrate it to the people who will be staying in your house.
- Ask the other party for a phone number of a person (a local contact) who can help out in case of difficulties. This person may hold the house keys for you. Phone your contact before leaving your own home, to ensure they will be around when you arrive.
- Find out whether any long term absences from your own accommodation are planned, and if so, ask a neighbour to look after you house (remove post, feed pets, etc.) on your own property.
- Ask for a list of repair and service providers and other useful numbers to be left in the house.
- Make clear arrangements about the use of the phone. Are you allowed to use it? If so, you should ask whether itemized bills are available to pay back you usage.
